How to fill out a PDF form

Updated October 25, 2026

Type answers into any PDF, tick boxes, add dates and sign, even when the form has no fillable fields.

Fillable and non-fillable forms

Some PDF forms have built-in fields you can click and type into. Many others, especially scanned paper forms, are just pictures of a page. PDF One handles both the same way: you place text, checkmarks and signatures exactly where you want them on the page, so any form can be completed without printing it.

Step by step

  1. Open the form in PDF One.
  2. Choose Fill & Sign and pick Custom Text. Click on the page where the answer belongs and type.
  3. Adjust the font size so your text fits the box. Drag the text to line it up with the printed line.
  4. Use the checkmark stamp for tick boxes and the date stamp for date fields.
  5. If the form needs a signature, follow the signing guide.
  6. Zoom in to check every field, then click Save a copy.

Tips for forms that look professional

  • Use one font and one size throughout the form so it looks tidy.
  • Write dates in the format the form asks for (for example DD/MM/YYYY or MM/DD/YYYY).
  • For long answers, use several shorter text boxes, one per printed line, rather than one long line that runs off the page.
  • If the form is a crooked phone photo, straighten it first with the scanner so your text lines up.

Your personal details stay with you

Forms are full of sensitive information: addresses, dates of birth, ID numbers, medical and financial details. With an online form filler, all of that passes through someone else's server. In PDF One it is typed into a page that lives only in your browser's memory and is saved straight back to your device.
